How to Turn Attio CRM Notes and Calls into Product Insights

Short answer

To analyze customer feedback stored in Attio, get the text out of notes and call transcripts, group it into recurring problems, and link each problem to the Attio company records behind it. Then rank problems by how many paying companies raise them, weighted by stage and revenue, not by how many notes mention them. Attio's AI tags feedback one note at a time; ranking a quarter's worth takes the workspace export, the API, or a feedback tool.

Key Takeaways

  • Notes and calls hold the feedback; company records hold the weight. Stage and revenue tell you whether a problem matters.
  • Count companies, not notes. One design partner on a weekly call can out-write the rest of your customer base.
  • Tag notes with workflows, not AI attributes. AI attributes can't read notes (Attio Help); a Note created workflow with Classify text can.
  • Export notes as CSV; pull transcripts from the API. The workspace export, open to admins on any plan, skips transcripts (Attio Help).
  • Deck's Attio integration adds context, not text. It reads People and Company records to filter Themes, on the Business plan, and doesn't import notes.

Where Does Customer Feedback Live in Attio?

Feedback text lives in notes, call recordings, and synced emails; attributes and lists tell you who said it. Each one has a different way out.

Where it livesWhat you find thereHow to get it out
NotesFounder sales notes, onboarding recaps, "they'd expand if we had X"Workspace export (CSV) or the notes API
Call recordingsTranscripts and AI summaries of demos and check-ins, on Pro and Enterprise (source)Transcript API only
EmailsRequests and complaints in the customer's own wordsNo bulk export; search with Ask Attio or the MCP server
AttributesStage, plan, ARR, ICP fit, ownerExport a view as CSV or Excel
ListsCohorts such as Design partners or Renewals this quarterExport the list view

Read 20 founder notes before you automate anything. With founder-led sales, the best evidence sits in post-call shorthand like "SSO is a blocker for Q3." Learn what a request looks like in your team's writing before you ask a model to find one.

What Can Attio Do with Feedback on Its Own?

Attio finds and tags feedback one note at a time, but it won't group a quarter of notes into problems you haven't named yet.

  • Ask Attio: The built-in chat searches notes, call transcripts, emails you can access, and records on all plans (Attio Help). Use it to find evidence ("notes this quarter that mention exports"), not to count it: a chat answer isn't a dataset you can rerun.
  • AI attributes: Classify record, Summarize record, and similar attributes cost workspace credits and read attribute values only, never notes (Attio Help).
  • Workflows: Note created and Call recording created triggers, plus a Classify text block that sorts free text into tags you list (Attio Help).
  • MCP server: Attio's hosted server gives Claude, ChatGPT, or Cursor tools such as semantic-search-notes (Attio Docs). See how to connect customer feedback to Claude or ChatGPT.

The most useful native setup is a workflow that writes one tagged Feedback record per note. It needs a custom object, which means Pro or Enterprise and a workspace admin (Attio Help).

  1. Create a Feedback object with a text attribute for the note, a relationship to Company, and a Problem area multi-select with 8 to 15 values.
  2. Build the workflow: Note created, then a Delay of a few minutes, then Classify text on the note, then Create record in Feedback.
  3. Add calls: Copy the workflow with the Call recording created trigger, which fires once the summary is ready, and classify the summary.

The delay matters because a note typed in Attio triggers the workflow before its content exists. The object matters because Classify text doesn't save its output, and a note has no attribute to hold the tag: the API's note object carries a title, content, tags, and its parent record, but no custom attributes (Attio Docs).

Classify text only applies tags you wrote, so it never surfaces a new problem. Review the untagged pile every two weeks, and tag any unlisted problem that shows up in notes from three companies (see how to build a feedback taxonomy).

Log Evidence, Not Feature Requests
A Feature Requests object becomes a vote count of whoever remembered to link a company. Log one record per piece of evidence and tag the problem, not the feature. "Wants a Salesforce sync" and "wants CSV import" may both mean "can't get deal data in without retyping it," and they should count together.

How Do You Export Attio Notes and Calls for Analysis?

Use the workspace export for notes, the API for transcripts, and a Companies view for attributes, then join them on company record ID. Rule of thumb: an hour for the first export, 15 minutes a month after that.

  1. Notes: An admin opens Workspace settings โ†’ General โ†’ Export Workspace data. The zip holds CSVs for notes, companies, people, deals, and lists, but no emails, and calls only as metadata.
  2. Attributes: Export a Companies view with stage, plan, and ARR (click Save for everyone first so filters apply). Enriched attributes export blank, so copy any you need into a manual attribute (Attio Help).
  3. Transcripts and fresh notes: The REST API lists notes 50 at a time, with the text in content_plaintext (Attio Docs). Transcripts come from the Get call transcript endpoint, still in beta (Attio Docs).
  4. Join and clean: Keep one row per note with the text, date, and parent company record ID (parent_record_id in the API); if your export lacks that column, pull the notes from the API instead. Drop logistics notes such as "sent the contract," but never drop the record ID: it's how revenue comes back in.

How Can Startups Use Attio CRM Data to Prioritize Product Feedback?

Group notes into problems, count the distinct companies behind each, then weight by three company attributes: stage, revenue, and ICP fit. That's enough at seed and Series A; more fields add arguments, not clarity.

  • Check coverage first. If more than about 10% of customer companies have a blank ARR attribute, fill them in before you rank, or those accounts quietly sink. Use the ARR your team maintains, not an enriched estimate of the customer's own size.
  • Count companies, not notes. Dedupe on company record ID. A founder who writes up every weekly call with one design partner can log 30 notes about one request.
  • Keep customers and prospects apart. Prospect notes skew toward whatever the last demo was missing. Rank them separately and use them to break ties.

A worked example (illustrative numbers). Say a startup with 40 customers finds 64 notes with product feedback over two quarters. "Reports are too slow" appears in 26 notes and "no role-based permissions" in 11, so by note count, reports win.

Deduped, reports come from 4 companies, and one design partner wrote 19 of those notes. Permissions comes from 9 customers, 3 of them renewing next quarter. Permissions is the stronger case, and you can name every company behind it. For more on weighting by ARR and churn risk, see why feature voting fails.

How Does the Deck Attio Integration Work?

Deck uses Attio to learn who said each thing; the words come from your other sources. Deck groups insights from the support, call, survey, and Slack tools on its integrations page into Themes; Attio supplies the company context to filter them.

  • What it reads: People and Company records, read-only and fetched on demand. Deck never writes to Attio (Deck Attio docs).
  • How feedback links to companies: A contact at Acme links to Acme's Attio company, matched mainly by email, so your support and call tools need to capture one (Deck Contacts docs).
  • Segments: Through Deck MCP, a segment rule can match a field from a connected CRM, so a group such as Enterprise customers carries across Themes, Insights, and NPS (define segments playbook).

To connect it:

  1. An organization admin opens Settings โ†’ Integrations โ†’ Attio and connects with OAuth.
  2. Under Field selection, pick the People and Company attributes you want as filters, then click Save.
  3. On Visualize โ†’ Themes, click the Attio filter and add a condition, such as Stage equals Customer.

Limitations:

  • Plan: CRM integrations need the Business plan, at $249 a month or $199 billed annually.
  • No note or call import: Upload exported notes as a Feedback CSV (up to 10 MB) with a contact email mapped, so each row links to the right record (Deck CSV import docs).
  • Attributes, not lists: Filters cover People and Company attributes, so mirror any Attio list you segment by in a company attribute.
  • Speed: Filters run on Deck's side after it fetches records, so they can be slower in large workspaces.

Which Other Tools Work with Attio Feedback?

Choose by where your evidence starts. If it's mostly Attio notes, stay native or send notes to a feedback tool. If it's spread across support, calls, and Slack, use Attio as context.

ToolWhat it does with AttioPlan needed (USD)
Attio nativeAsk Attio and the MCP server search notes and calls; Classify text workflows tag themAny plan for search, plus an AI subscription for MCP; Pro, $79 per seat per month billed annually or $99 monthly, for calls and custom objects (source)
ProductboardAttio-built app sends a person, company, call transcript, or summary to ProductboardProductboard Business, $59 per maker a month billed annually, 5-maker minimum (source, pricing)

If most of your evidence lives in Attio notes, the native workflow is likely enough for now. Once tickets, calls, and Slack threads outnumber the notes, try Deck: start free, then connect Attio on Business.

Frequently Asked Questions

Partly. Ask Attio searches and summarizes notes, call transcripts, and synced emails on every plan, and a Classify text workflow can tag each new note with categories you define. Nothing native groups notes into themes you haven't named.

A workspace admin runs Export Workspace data from the General tab of Workspace settings, on any plan. The zip of CSV files includes notes, companies, people, deals, and lists, but not emails or call transcripts, which come through Attio's API.

Yes. Attio's hosted MCP server connects Claude, ChatGPT, Cursor, and other MCP clients through OAuth, with semantic search across notes, calls, and emails. It's good for finding evidence on one topic, but each chat starts fresh, so themes won't stay consistent month to month.

No. Deck's Attio integration reads People and Company records to link and filter feedback from your other sources, and it never writes to Attio. To analyze Attio notes in Deck, export them and upload them as a Feedback CSV with a contact email mapped.
