How to Analyze Customer Interview Notes and Research in Notion

To analyze customer interview notes stored in Notion, put every interview on its own page in one database, keep the customer's exact words apart from your interpretation, tag each page from a fixed list of customer problems, then count how many separate accounts raised each problem. Notion AI can tag one page at a time. To compare dozens of interviews, group the database by tag, ask Claude or ChatGPT through Notion's MCP server, or import the pages into a feedback tool such as Deck.
Key Takeaways
- Use one database with a row per conversation. A running "Customer feedback" page can't be counted.
- Keep verbatim quotes apart from your interpretation, or AI will treat your guesses as evidence.
- Notion's Basic Autofill tags pages on Business and Enterprise, but reads only the page it fills (Notion Help).
- Count unique accounts per problem, not pages. One eager design partner can fill seven pages alone.
- Synthesize from the raw interviews, not last quarter's findings page.
Step 1: Move Every Conversation into One Notion Database
Notion is good at holding research and bad at counting it, so fix the structure before you add AI. Create one database, such as Customer Conversations, with a row for every interview, sales call recap, and advisory board session.
| Property | Type | What goes in it |
|---|---|---|
| Name | Title | "Account, date, type," such as "Acme, 2026-10-14, Discovery" |
| Account | Select | The unit you count |
| Date | Date | When it happened |
| Segment | Select | Plan, size, or persona |
| Type | Select | Interview, sales call, escalation, or advisory board |
| Recording | URL | For checking quotes in context |
| Problems | Multi-select | Filled in Step 3 |
| Status | Status | Raw, Tagged, or Synthesized |
Backfill only the last 90 days; older notes describe a product you've since changed. As a rule of thumb, moving 30 pages takes about an hour.
Step 2: Use a Page Template That Separates Quotes from Interpretation
Set this as the database's default template:
# [Account], [YYYY-MM-DD], [Type]
## Context
Role, team size, plan, how long they've been a customer
## What They Said (Verbatim)
Participant: "We export the report every Friday and rebuild it in Sheets."
Interviewer: "What do you change?"
Participant: "We add the renewal date. Without it, finance ignores the numbers."
## What They Do Today
- The workaround, and how long it takes
## Our Interpretation
- What we think this means (hypotheses, not evidence)
- Paste quotes word for word from the transcript. Mark anything written from memory as a paraphrase.
- Write one
Speaker: textline per turn. Tools such as Deck use the labels to tell the participant from the interviewer. - Give workarounds their own section. A workaround proves the problem already costs the customer time; a feature request is only their guess at a fix.
Recording with Notion AI Meeting Notes (Business and Enterprise)? Use the desktop app. In the browser, Notion transcribes only your microphone, so you lose the customer's side of a web call (Notion Help). Get every participant's consent first.
Step 3: Tag Each Page with the Problems It Mentions
Tag from a fixed list of 8 to 15 problems, named after the customer's pain. "Can't see which seats are active" is a problem; "Admin dashboard" is a solution someone already picked. To build the list, see how to build a customer feedback taxonomy.
Notion AI can take the first pass (Notion Help):
- Basic Autofill fills tags and summaries from the page's own content. It's included on Business and Enterprise, uses no credits, and runs manually or when a page is created or edited.
- Custom Agent Autofill can search the workspace and run on a schedule, but each task uses Notion credits.
Give Basic Autofill instructions like these:
Read only "What They Said" and "What They Do Today".
Pick up to 3 problems from the list below that the participant describes in their own words.
Ignore "Our Interpretation". If no problem fits, leave this property empty.
- Can't see which seats are active: admins can't tell who uses the product
- Report needs rebuilding: users export data and fix it in another tool
For the first month, spot-check one in five tagged pages. If you'd change more than one tag in five, tighten the definitions before trusting the counts.
Step 4: Find Patterns Across Interviews, Not Inside One
One interview is an anecdote, and Basic Autofill only ever sees one. To read across thirty, use a grouped view or an AI assistant; the third route, a feedback tool, is under Tools That Help.
In Notion. Filter a board view to the last 90 days and group it by Problems; a page tagged with three problems appears in all three columns. Change the number beside each column heading to Count unique values of Account, so each column shows accounts, not pages (Notion Help).
With Claude or ChatGPT. Notion's MCP server lets assistants such as Claude, ChatGPT, and Gemini search your workspace and work with databases (Notion Developers). Notion Agent does similar work inside Notion (Notion Help). Use a prompt that forces evidence:
In the Customer Conversations database, read every page with Type = Interview and a Date in the last 90 days.
1. First, list every page you read, by title. Say so if you could not open one.
2. Group the problems participants describe into 4 to 8 themes, named after the customer's problem.
3. For each theme, list the accounts and one verbatim quote per account from "What They Said", with the page link.
4. Never use "Our Interpretation" as evidence. Do not count, rank, or invent quotes.
The first instruction matters most: if the list is shorter than your database, the assistant skipped pages. Work in batches of 10 to 15 interviews, then merge themes. For other setups, see how to connect customer feedback to Claude or ChatGPT.
Step 5: Check the Evidence Before You Call It a Finding
A workable bar: a problem is a finding once three unrelated accounts in your target market describe it in their own words. Below that, it's a lead worth more calls. It is the same bar the weekly synthesis session uses. Run two checks first:
- Where the evidence sits. A theme that rests mostly on "Our Interpretation" is your hypothesis, not the customer's problem.
- Three quotes in context. Open three quotes in their source pages. AI summaries flatten "annoying" and "blocking" into the same word.
Then mark the pages Synthesized and link your decision to them. Don't let a "Q3 research findings" page replace the interviews: teams cite it for a year, and nobody can check it.
Worked Example: 24 Interviews in One Notion Database
This example is illustrative. At a seven-person AI startup selling meeting summaries to sales teams, four people wrote 24 interview pages in 90 days, in four formats.
- Restructure and tag: in one afternoon, the PM moves the pages into one database and template, and Basic Autofill tags them against 10 problems. She corrects 3 of the first 12 pages and rewrites two definitions.
- Group: "Wants a Slack bot" covers 11 pages, but 7 come from one design partner, so only 3 accounts in all. "Summaries miss CRM fields" covers 9 pages from 6 accounts, and 4 of them copy notes into Salesforce by hand.
- Decide: the team builds CRM field mapping and keeps the Slack bot on watch.
By page count, the Slack bot led. By accounts and workarounds, it wasn't close.
Common Mistakes When Analyzing Research in Notion
- Mixing in internal docs. Keep PRDs and strategy pages out, and point AI at the database, not the workspace. Otherwise it cites your team's opinions as customer feedback.
- Weighting sales calls like interviews. Sales notes lean toward whatever closes the deal. Filter by Type and compare before you merge.
Tools That Help
| Option | Cost | Good for | Main limit |
|---|---|---|---|
| Notion, tagged by hand | Any Notion plan | Up to about 20 interviews a quarter | You count and reread by hand |
| Notion AI | Business, listed at $20 per member a month billed annually; Custom Agents use credits | Tagging and summarizing pages; meeting transcripts | Basic Autofill reads one page at a time |
| Claude or ChatGPT via Notion MCP | Your AI plan | On-demand synthesis of a batch of pages | You rerun it by hand; results depend on which pages it read |
| Dovetail | Free (one project, one channel); Enterprise custom | Research teams that want highlights and reels | Its Notion integration doesn't import pages; bulk import is Enterprise only |
| Deck | Free ($0, 200 AI credits a month); Starter $99 a month | Interviews analyzed with tickets, calls, and Slack, ranked in the Opportunity Backlog | An import you run, not a live sync; no highlight reels or redaction |

How Deck Imports and Analyzes Notion Pages
Deck takes over Steps 3 and 4: it extracts insights from each page, links each to its quote, and groups them into themes with your tickets, sales calls, and Slack feedback. The structure and the decision stay with you.
- Connect and import: an admin connects Notion in Settings โ Integrations and can share only specific pages (Deck Notion docs). In Manage โ Notion, a four-step wizard lets you pick pages, nested pages, or database entries; classify each as a User Interview, Survey Response, Support Ticket, or Sales Call; map participant, date, and content; then import.
- What you get: each insight keeps its quote, a sentiment, and a category such as Pain Point, and joins a theme or starts one. Give an import a segment, such as Enterprise, and its insights inherit it.
- Transcripts beat notes: if you have the transcript, upload it in Manage โ User Interviews instead, so insights quote the customer, not you (import interviews playbook).
- Limitations: Deck's docs describe Notion as an import you run, not a background sync, so new pages need a new import. Deck doesn't write tags back to Notion, and no Deck MCP tool runs the import. Processing uses AI credits: plan on about 17 per 30-minute interview, depending on length.
On Deck's Free plan, Notion takes the one integration slot (Deck billing docs); the integrations page lists other sources. To test it, import one research round on the Free plan and compare Deck's themes with your tags.
